The John Adams Innovation Institute is a division of the Massachusetts Technology Collaborative, a quasi-public organization that is dedicated to supporting growth in the Commonwealth’s Innovation Economy. The John Adams Innovation Institute is dedicated to enhancing institutional and industry competitiveness throughout the Commonwealth. To this end, the Innovation Institute promotes the conditions that enable growth throughout the Massachusetts innovation economy -- an economy that contributes one quarter of employment in the State. It also provides accurate and reliable information, data and analysis to stakeholders promoting a richer understanding of the dynamics of the new economy and informing policy at the federal, state and local levels of government.
The Operations Assistant is an exciting opportunity to facilitate group success within a complex economic development organization. This position reports to the Operations Supervisor in the John Adams Innovation Institute, in Westborough, Massachusetts.
RESPONSIBILITIES:
The successful candidate will perform a variety of complex and substantive tasks in three major categories: financial administration, division operations and program and special projects. The key responsibilities include the following:
- Perform financial administration and management tasks to support the Operations Supervisor:
- Support scheduling and processing of award contracts within JAII and MTC;
- Organize and process invoices, work orders;
- Coordinate, process and track all management, consultant and related contracts;
- Review invoices submitted by vendors and others for approval;
- Review and compare invoices against project and program budget documents for review;
- Collect and organize project performance information from program directors and managers to track against performance metrics.
- Provide administrative support, financial management and project management assistance to the Operations Supervisor and indirectly to the Chief Operating Officer of the John Adams Innovation Institute, including:
- Coordinate calendar and travel itineraries, schedule, and expense reporting;
- Perform administrative services such as: word process, photocopy, collate and fax correspondence, edit documents upon request, coordinate meetings and/or conferences, file correspondence and records and organize and maintain files;
- Review incoming mail and maintain appropriate filing systems for
- Respond to inquiries from the public regarding MTC and JAII; refer inquiries to staff as appropriate;
- Maintain accurate contact files.
- Work directly with the Operations Supervisor, Chief Operating Officer and other senior managers on selected projects to advance progress toward achievement of key priorities, including (but not limited to):
- Management of Innovation Institute files.
- Support all logistics required for John Adams Innovation Institute Governing Board meetings and attend these meetings as directed by the Chief Operating Officer.
QUALIFICATIONS:
Our “candidate of choice” will have a Bachelors’ degree and two to four years of increasingly responsible work experience in a technology or economic development environment in the private or public sector. Your ability to establish and maintain effective working relationships with stakeholders and your strong interpersonal, presentation skills coupled with your ability to independently take the initiative and handle multiple tasks simultaneously while meeting deadlines will be keys to your success. Your enthusiasm will be just as important in this high visibility role.
